1. Introduction

Welcome to Meeting Bable. This Privacy Policy explains how Meeting Bable ("we," "us," or "our"), a United States-based company, collects, uses, discloses, and protects your personal information when you use our real-time meeting transcription, translation, and summarization service (the "Service").

This policy applies to all users of our website, web application, and associated services. By accessing or using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use the Service.

2. Information We Collect

We collect information necessary to provide and improve our Service. The types of information we collect include:

Account Information

When you create an account, we collect your email address and display name. If you sign in through a third-party provider such as Google, we receive basic profile information as authorized by you during the sign-in process.

Audio Recordings and Transcripts

When you use the Service to transcribe meetings, we process audio data that you provide through microphone capture, browser tab capture, or file upload. This audio is transmitted to our servers and to third-party speech recognition services to generate transcripts and translations. Audio recordings may be stored in cloud storage on your behalf so that you can access them later.

Usage Data

We automatically collect certain information about how you interact with the Service, including session metadata (such as session duration, language pairs selected, and feature usage), device information (browser type, operating system), and your IP address. With your consent, we also use analytics services to collect aggregated, anonymized usage data such as page views and feature interactions. This data helps us understand how the Service is used and where we can make improvements.

Payment Information

If you subscribe to a paid plan, your payment is processed by Stripe, our third-party payment processor. We do not store your credit card number, CVV, or other sensitive payment credentials on our servers. We receive and retain only limited billing information from Stripe, such as the last four digits of your card, card brand, and billing history, to display in your account and manage your subscription.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Providing the Service: To transcribe, translate, and summarize your meetings in real time and on demand, including speaker diarization and AI-generated summaries.
  • Processing Payments: To manage your subscription, process billing transactions through Stripe, and enforce usage limits associated with your plan tier.
  • Improving the Service: To analyze usage patterns, diagnose technical issues, and develop new features that better serve our users.
  • Communicating with You: To send you service updates, security alerts, account notifications, and respond to your support requests. We will not send marketing emails without your explicit consent.

4. Sharing, Transfer, and Disclosure of Google User Data

When you sign in with Google, we receive your basic profile information (name, email address, and profile picture) through Google's OAuth 2.0 authentication flow. We use this information solely to create and maintain your Meeting Bable account.

We do not sell, rent, lease, or trade your Google user data to any third party.

We do not share, transfer, or disclose your Google user data to third parties except in the following limited circumstances:

  • Service infrastructure providers: Your Google account identifier is stored in Firebase Authentication and Cloud Firestore (both Google Cloud services) solely to authenticate you and associate your data with your account. These providers act as data processors on our behalf and do not use your data for their own purposes.
  • Legal obligations: We may disclose your information if required to do so by law, regulation, legal process, or enforceable governmental request.
  • With your explicit consent: We will share your data with other parties only if you have given us explicit, informed consent to do so.

We do not use Google user data for advertising, retargeting, personalized or interest-based ads, or creditworthiness assessments. We do not transfer Google user data to data brokers or information resellers.

Meeting Bable's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Third-Party Service Providers

We rely on trusted third-party service providers to deliver key parts of the Service. These providers process your data only as necessary to perform their functions and are bound by their own privacy policies and data processing agreements.

Google Cloud Platform

We use several Google Cloud services to power the core functionality of Meeting Bable. Google Cloud Speech-to-Text converts your audio into text transcripts. Google Cloud Translation translates your transcripts across supported languages. Google Vertex AI (Gemini) generates AI-powered meeting summaries, action items, and session titles. Google Cloud Storage hosts your audio recordings. Google processes this data in accordance with the Google Cloud Privacy Notice and applicable data processing terms.

Firebase

Firebase, a Google platform, provides our authentication system (Firebase Authentication) and our database infrastructure (Cloud Firestore). Firebase handles your sign-in credentials securely and stores session data, transcripts, and user preferences. Firebase processes data under the Firebase Privacy and Security documentation.

Stripe

Stripe processes all payment transactions for our paid plans. When you enter payment information, it is collected and processed directly by Stripe. We never have access to your full card details. Stripe's handling of your payment data is governed by the Stripe Privacy Policy.

6. Audio Data and AI Processing

Audio data is central to our Service. When you record or upload audio, it is streamed to Google Cloud Speech-to-Text for transcription. Finalized transcript segments are then sent to Google Cloud Translation for translation into your selected target language. If you request a meeting summary, transcript content is sent to Google Vertex AI (Gemini) for AI-powered summarization, action item extraction, and title generation.

We process audio and transcript data solely to provide the Service to you. We do not use your audio, transcripts, or meeting content to train AI models. Your meeting content is not shared with other users or used for any purpose beyond delivering the transcription, translation, and summarization features you have requested.

7. Data Retention

We retain your data only as long as necessary to provide the Service and fulfill the purposes described in this policy.

  • Audio recordings are stored in cloud storage and remain available until you delete the associated session. Once you delete a session, the corresponding audio file is queued for permanent removal.
  • Transcripts and session data are retained in our database while the session exists. Deleted sessions are first moved to a trash state with a soft delete, allowing you to restore them. Permanently deleted data is removed within 30 days.
  • Account data is retained for as long as your account remains active. If you delete your account, we will remove your personal data and associated session data within 30 days, unless we are required by law to retain certain information for a longer period.

8. Your Rights

Depending on your location, you may have certain rights regarding your personal information. We are committed to honoring these rights regardless of where you reside, to the greatest extent practicable.

European Economic Area and United Kingdom (GDPR)

If you are located in the EEA or UK, you have the right to access, rectify, and erase your personal data. You may request a portable copy of your data in a structured, machine-readable format. You also have the right to restrict processing of your data, to object to certain processing activities, and to withdraw your consent at any time where processing is based on consent. Exercising these rights will not affect the lawfulness of any processing carried out before withdrawal.

California (CCPA / CPRA)

If you are a California resident, you have the right to know what personal information we collect about you and how it is used. You may request deletion of your personal information and opt out of the sale or sharing of your data. We do not sell your personal information to third parties. We will not discriminate against you for exercising any of your privacy rights under California law.

Canada (PIPEDA)

If you are a Canadian resident, you have the right to access your personal information held by us and to request correction of any inaccuracies. You may also challenge our compliance with PIPEDA by contacting us.

Exercising Your Rights

To exercise any of the rights described above, please contact us at privacy@meetingbable.app. We will respond to verified requests within 30 days, or within the timeframe required by applicable law. We may ask you to verify your identity before processing your request to protect your privacy and security.

9. International Data Transfers

Meeting Bable is based in the United States, and your data is processed and stored on servers located in the United States through Google Cloud Platform infrastructure. If you access the Service from outside the United States, please be aware that your data will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction.

For transfers of personal data from the European Economic Area or the United Kingdom to the United States, we rely on appropriate safeguards, including Standard Contractual Clauses (SCCs) approved by the European Commission and the UK Information Commissioner's Office, as well as the data processing agreements provided by our service providers such as Google Cloud and Stripe.

10. Cookies and Analytics

We use essential cookies that are strictly necessary for the operation of the Service. These cookies support authentication through Firebase and maintain your session state as you navigate the application. Without these cookies, core functionality such as staying signed in would not be possible.

With your consent, we also use analytics cookies to collect aggregated, anonymous usage data (such as page views, feature interactions, and session durations). This data helps us improve the Service. We may also use advertising cookies from third-party platforms to measure the effectiveness of our marketing campaigns and show relevant content. When you choose "Essential Only" in our consent banner, neither analytics nor advertising cookies are stored on your device. Our analytics services may still send cookieless, anonymous pings for basic traffic modeling, but no personal data is collected in this mode.

When you create an account or complete a purchase, we may send anonymized or hashed account identifiers (such as a hashed email address or internal user ID) to advertising platforms (such as Google Ads or Meta) as conversion signals. These signals help us measure the effectiveness of our advertising campaigns and attribute sign-ups or purchases to specific ads. This data is used solely for conversion measurement and campaign optimization — it is not used to build remarketing audiences or serve personalized ads based on your Meeting Bable activity. This practice involves standard account data and is separate from the Google API user data described in Section 4, which is never shared with advertising platforms.

11. Children's Privacy

Meeting Bable is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. In compliance with the Children's Online Privacy Protection Act (COPPA), if we become aware that we have inadvertently collected personal information from a child under 13, we will take prompt steps to delete that information. If you believe a child under 13 has provided us with personal information, please contact us at privacy@meetingbable.app.

12. Security

We take the security of your personal information seriously and implement appropriate technical and organizational measures to protect it. All data transmitted between your browser and our servers is encrypted in transit using Transport Layer Security (TLS). Access to personal data is restricted to authorized personnel on a need-to-know basis, and we enforce access controls across our infrastructure.

We conduct regular security reviews and leverage the security infrastructure provided by Google Cloud Platform and Firebase. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. We encourage you to use a strong, unique password for your account and to keep your credentials confidential.

13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make changes, we will update the "Effective Date" at the top of this page. If we make material changes that significantly affect how we handle your personal information, we will notify you by email at the address associated with your account and, where required by law, obtain your renewed consent before applying the changes to data previously collected.
